Once parents submit their application via Online Application Form, Centre Admin can see the child name appeared on “Child > Applied > Waiting” section automatically. Centre Admin can proceed to do the Placement for the child if the applied class capacity is not FULL yet. Else, the child will be placed under Waiting for available seat.
Once Centre Admin confirms the Placement, the child will be moved to “Child > Applied > Placement” section.

Centre Admin will prepare the Letter Of Acceptance (LOA) to email to parents in Enrol system. LOA will include the child name, program type, program details, payment advice, required documents checklist and so on. Centre Admin can preview the LOA before sending it out to parents. The child will be placed at “Child > Applied > Placement” section until the parents complete and submit the Online Registration Form then move to “Child > Applied > Registration” section automatically.

Centre Admin can download and print out the ECDA Form, Registration Form and Checklist for parents to come down for signature. After printing out the forms, Centre Admin can click on “Enrolment” button to move the child from “Child > Applied > Registration ” to “Child > Enrolled > Edit Child ” section.

Centre Admin can move the child to “Child > Applied > Archive” section if parents would like to withdraw the application before completing the enrolment. However, Centre Admin can click on “Re-Apply” button to place the archived children back to Waiting List (“Child > Applied > Waiting” section) if parents change mind again.

Go to “Child > Enrolled > Add Child” section. Fill in the child information in the Child Info, Enrolment Details, Parent / Guardian 1 Info, Parent / Guardian 2 Info, Preferences, Medical Info and Emergency Info tabs.

• Go to “Child > Enrolled > Edit Child” section and retrieve the list
• Search for the child name
• Click on “Edit” button to open the child information
• Go to “Enrolment Details” tab to update the “Level Allocated” and “Class Allocated” directly

• Go to “Child > Enrolled > Withdraw Child” section and retrieve the list
• Search for the child name
• Click on “Withdraw” button
• If all Refundable Items’ Balance are “0.00” amount , the “Withdraw” button will be appeared. Centre Admin can then fill in the necessary information and proceed with the Withdrawal.
• If some of Refundable Items’ Balance are not “0.00” amount , Centre Admin should go to “Account > Manage > Acknowledgement Slip” section to create Acknowledgement Slip to either Refund or Forfeit the balances before she can continue the withdrawal action.

• Principal should create NEW School Year and Class under “Administration > Centre > School Year” and “Administration > Centre > Class” first
• Centre Admin goes to “Child > Enrolled > Promote Child” section
• Make sure you select the correct School Year, Program Type, Program Details, Level and Class to retrieve the current list
• Select children to be promoted
• Select the NEW and CORRECT School Year, Program Type, Program Details, Level and Class to promote the children
• Repeat above steps for different Program Type, Program Details, Level and Class until you finish the promotion for all children
• Reminder - Promotion should be proceeding by end of the year

Under the Income Tax Act and the GST Act, we are required to keep our business records and accounts for a period of at least five years effective 1 Jan 2007. As deleting a child will affect those issued Invoices and Receipts, so we do not provide “Delete Child” function in ENROL System.

All child information except “Enrichment Program Fee” (because child may attend different Enrichment Program in new school year) will be brought forward to new school year after promotion.

If Withdrawn Children would like to re-join the centre without changing previous information, Centre Admin can click on “Re-Apply” button (“Child > Enrolled > Withdraw Child > Withdrawn Children” section) to place the Withdrawn Children to Waiting List (“Child > Applied > Waiting List” section).

“Preferred Billing Recipient” is the person who will pay for the Invoice or Receipt. It could be Parent/Guardian 1, Parent/Guardian 2, Parent/Guardian 1’s company or Parent/Guardian 2’s company. Centre Admin must select one of above options so that the name will be appeared on generated Invoice or Receipt. If the selection is Parent/Guardian 1’s company or Parent/Guardian 2’s company, Centre Admin must fill in “Attention” of the company.

• Registration Date - The date of parents completing and submitting the Online Registration Form to us.
• Enrolment Date - The date of Centre Admin clicking on “Enrolment” button to move the child from “Child > Applied > Registration” section to “Child > Enrolled > Edit Child” section.
• Admission Date - The date of the child starting class in the centre.

• Enrichment - A program type for companies who are running “Enrichment Program” business to use. They can use ENROL System to issue the invoices and receipts for fee collection.
• EdnoLand Program - A program type for Ednovation HQ to issue the invoices and receipts for CAE or CIP program fee collection.
• Kindergarten - A program type for companies who are running “Kindergarten” business to use. They can use ENROL System to issue the invoices and receipts for fee collection.

• Go to “Child > Enrolled > Edit Child” section and retrieve the list
• Search for the child name
• Click on “Edit” button
• Go to “Enrolment Details” tab to update the “Temporary Withdrawal” status
• Monthly Invoice would not be generated automatically once you set “Temporary Withdrawal” to “Yes”
• Remember to set “Temporary Withdrawal” back to “No” when the child return to school

• Monthly School Fee – This school fee will automatically appear on every Monthly Invoice.
• Termly School Fee – This school fee will only appear on every January, April, July and October Monthly Invoice.

“Preferred Email Address” is used to email invoice, outstanding invoice reminder and receipt to parents. We strongly recommend Centre Admin or Principal to enter at least one email address for children.
